01The Service
Production Ledger is a web app for creating invoices, tracking gear and kit fees, and calculating day rates — built for filmmakers, DPs, gaffers, grips, sound, camera, and commercial crews.
The Services include, without limitation:
- An invoice generator with industry-specific templates and PDF export
- A kit catalog and kit-fee calculator
- A rate calculator with day-rate, half-day, and overtime logic
- Local and (on paid plans) cloud-based saving of your projects, clients, and invoices
- Marketing site, blog, and informational content
We may add, remove, or change features at any time. We will give reasonable advance notice of material changes that affect paid users.
02Eligibility and accounts
You must be at least 18 years old to use the Services. The Services are not directed to children or minors, and we do not knowingly collect personal information from anyone under 18.
The free tier may be used without creating an account. To access paid features or sync data across devices, you'll need to create an account by providing a valid email address and password.
You are responsible for:
- Maintaining the confidentiality of your password and account
- All activity that occurs under your account
- Notifying us promptly at support@productionledger.com of any unauthorized access
You may not share, sell, or transfer your account. You may not create an account using false information or impersonate any person or entity.
03Plans, pricing, and billing
Free tier
The free tier is offered at no cost and may be used indefinitely subject to these Terms and any feature limitations posted on our pricing page.
Paid plans
We offer paid subscription plans, including:
- Founding Member: a one-time annual subscription priced at $99/year (or as posted on our pricing page), available for a limited time to early supporters.
- Pro: a recurring monthly or annual subscription with full feature access.
Plan prices, features, and availability are described on our pricing page. Prices are in U.S. dollars and exclude any applicable taxes.
Auto-renewal
Paid subscriptions automatically renew at the end of each billing period (monthly or annual, as selected) at the then-current price, until you cancel. You authorize us, through our payment processor Stripe, to charge your payment method on file at the start of each renewal period.
You can cancel auto-renewal at any time from your account settings or by emailing support@productionledger.com. Cancellation takes effect at the end of your current billing period; you will retain access until that date.
Price changes
We may change the price of any plan. If we increase the price of an active subscription, we will give you at least 30 days' notice by email before the new price takes effect on a renewal. You may cancel before the new price applies if you don't agree.
Failed payments
If a payment fails, we may retry the charge and/or suspend access to paid features until the payment is successful. If a payment remains unpaid for 30 days, we may terminate the account.
Taxes
You are responsible for any sales, use, value-added, or similar taxes (excluding our income taxes) that apply to your purchase. Where required, we may collect and remit applicable taxes.
04Refunds and cancellation
30-day money-back guarantee on paid plans. After 30 days, subscriptions are non-refundable but you can cancel auto-renewal anytime.
We offer a 30-day money-back guarantee on initial paid subscriptions. If you're unhappy for any reason within 30 days of your first payment, email us at support@productionledger.com with your order number and we will refund the full amount to your original payment method within 5–10 business days.
After the 30-day window, subscription fees are non-refundable, including for partial periods, unused time, or after a renewal has been billed. You may cancel auto-renewal at any time and will retain access through the end of your paid period.

05Your content and data
Your invoices, clients, kit lists, and any other content you create stay yours. We don't claim ownership.
You retain all rights to any content, data, files, text, images, or information you submit, upload, or generate through the Services ("Your Content"). You grant us only the limited, non-exclusive license needed to host, display, store, transmit, and process Your Content for the sole purpose of providing the Services to you.
You are solely responsible for Your Content, including its accuracy, legality, and your right to use it. You represent that:
- You own or have the necessary rights to Your Content
- Your Content does not violate any law or any third party's rights
- You have permission to include any third-party information (clients, vendors, etc.) you enter into the Services
We don't review or pre-screen Your Content, but we reserve the right to remove content that violates these Terms or applicable law.
06Acceptable use
You agree not to:
- Use the Services for any illegal purpose or to violate any law or regulation
- Use the Services to send spam, phishing, fraudulent invoices, or any deceptive content
- Reverse engineer, decompile, disassemble, or attempt to extract the source code of the Services, except as permitted by applicable law
- Scrape, crawl, or harvest data from the Services using automated means without our written permission
- Resell, sublicense, or commercially redistribute the Services without our written permission
- Interfere with, disrupt, or place an unreasonable load on the Services or its infrastructure
- Bypass, disable, or interfere with security or access-control features
- Upload viruses, malware, or other harmful code
- Use the Services to harass, threaten, or harm any person
- Use the Services to compete directly with us or build a competing product
We may suspend or terminate your access for any violation of these rules.
07Intellectual property
The Services, including the website, software, design, branding, logos, text, graphics, and all underlying technology, are owned by Production Ledger and are protected by U.S. and international intellectual property laws.
We grant you a limited, non-exclusive, non-transferable, revocable license to use the Services solely for your personal or internal business use, subject to these Terms.
You may not copy, modify, distribute, sell, lease, or create derivative works of any part of the Services. The "Production Ledger" name and logo are our trademarks; you may not use them without our written permission.
08Third-party services
The Services may integrate with or link to third-party services, including:
- Stripe for payments — subject to Stripe's terms
- Vercel for hosting and infrastructure
- Microsoft Clarity for analytics
- Formspree or similar form-handling services
We are not responsible for the content, terms, or practices of any third-party service. Your use of those services is governed by their respective terms and privacy policies.
09Disclaimers
The Services are provided "as is" and "as available" without warranties of any kind, express or implied. To the maximum extent permitted by law, we disclaim all warranties, including merchantability, fitness for a particular purpose, non-infringement, accuracy, and reliability.
We do not warrant that:
- The Services will be uninterrupted, error-free, or secure
- Any defects will be corrected
- The Services will meet your specific requirements
- Any data, including invoices and rates, generated by the Services is accurate, complete, or suitable for any particular purpose
Production Ledger is a software tool, not legal, tax, accounting, or professional advice. You are solely responsible for the accuracy of invoices you send, the rates you charge, and your compliance with applicable tax and labor laws. Always consult a qualified professional for legal, tax, or accounting decisions.
10Limitation of liability
To the maximum extent permitted by law, Production Ledger, its officers, employees, contractors, and affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation loss of profits, revenue, data, business opportunities, or goodwill, arising out of or related to your use of the Services, even if we have been advised of the possibility of such damages.
Our total cumulative liability to you for any and all claims arising out of or related to the Services or these Terms will not exceed the greater of (a) the amount you paid us in the 12 months immediately preceding the event giving rise to the claim, or (b) one hundred U.S. dollars (US$100).
Some jurisdictions do not allow the exclusion or limitation of certain damages, so some of the above may not apply to you. In those jurisdictions, our liability is limited to the smallest extent permitted by law.
11Indemnification
You agree to defend, indemnify, and hold harmless Production Ledger and its officers, employees, and affiliates from any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of or related to:
- Your use of the Services
- Your violation of these Terms
- Your violation of any law or any rights of a third party
- Your Content
12Termination
You may stop using the Services at any time and may delete your account by emailing support@productionledger.com.
We may suspend or terminate your access to the Services, with or without notice, if:
- You violate these Terms
- We are required to do so by law
- We discontinue the Services (in which case we will give reasonable advance notice and refund any prepaid, unused fees)
- Your account remains unpaid after a failed payment
Upon termination, your license to use the Services ends. Sections that by their nature should survive termination (including IP, disclaimers, liability limits, indemnification, dispute resolution, and general terms) will survive.
13Governing law and disputes
Governing law
These Terms are governed by the laws of the State of Georgia, United States, without regard to its conflict-of-laws rules. The United Nations Convention on Contracts for the International Sale of Goods does not apply.
Informal resolution first
Before filing any formal claim, you agree to contact us at support@productionledger.com and try to resolve the dispute informally for at least 30 days.
Binding arbitration
If informal resolution fails, any dispute, claim, or controversy arising out of or relating to these Terms or the Services will be resolved by binding individual arbitration, administered by the American Arbitration Association (AAA) under its Consumer Arbitration Rules. The arbitration will be conducted in Atlanta, Georgia (or, at your option if you are an individual consumer, in the U.S. county where you reside), in English. The arbitrator's decision will be final and binding, and judgment may be entered in any court of competent jurisdiction.
Class action waiver
You and we each agree that any dispute will be brought only in an individual capacity, and not as a class, collective, consolidated, or representative action. The arbitrator may not consolidate more than one person's claims or preside over any form of class proceeding.
Exceptions
Either party may bring an individual action in small-claims court for disputes within that court's jurisdiction. Either party may seek injunctive or equitable relief in court for infringement of intellectual property rights.
30-day right to opt out
You may opt out of the arbitration agreement and class action waiver by emailing support@productionledger.com within 30 days of first accepting these Terms, with the subject line "Arbitration Opt-Out" and your full name and email on file. Opting out does not affect any other part of these Terms.
14Changes to these Terms
We may update these Terms from time to time. The "Last updated" date at the top reflects the most recent version. For material changes, we will give at least 30 days' notice by email or in-app notice before the new Terms take effect. Continued use of the Services after the effective date constitutes acceptance of the updated Terms. If you don't agree, stop using the Services and (if applicable) cancel your subscription.
15General terms
Entire agreement. These Terms, together with our Privacy Policy, Cookie Policy, and Refund Policy, are the entire agreement between you and us regarding the Services and supersede any prior agreements.
Severability. If any provision is held unenforceable, the rest will remain in full force and effect.
No waiver. Our failure to enforce any right or provision is not a waiver of that right.
Assignment. You may not assign these Terms without our prior written consent. We may assign these Terms to an affiliate, successor, or in connection with a merger, acquisition, or sale of assets.
Force majeure. We are not liable for any delay or failure caused by events beyond our reasonable control (natural disasters, war, internet or service-provider outages, government action, etc.).
Notices. We may give notices to you by email to the address on file or by posting in-app. You may give notices to us at support@productionledger.com.
Independent contractors. Nothing in these Terms creates a partnership, joint venture, agency, or employment relationship.
